Promotify LLC, a Nevada limited liability company ("we," "us," or "our"), respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our product information management platform and services (the "Service").

2. Information We Collect
We collect information in two categories: (1) Information you provide to us directly, and (2) Information processed on your behalf via your connected platforms.
A. Information You Provide
Account Registration: Name, email address, company name, and phone number.
Billing Information: We collect payment details via our third-party payment processor (Authorize.net through Zoho Subscriptions). We do not store full credit card numbers on our servers.
Credentials: We collect and securely store OAuth access tokens for your Shopify store(s) to facilitate the Service. PromoStandards supplier credentials are generally managed centrally by our platform. However, depending on your subscription tier, you may optionally provide your specific Supplier API credentials (e.g., to access negotiated pricing), which we will securely store to facilitate those requests.
User Inputs & Prompts: We collect the text instructions, brand voice prompts, pricing configurations, and settings you input to configure our sync and AI generation features.
Communications Data: When you communicate with us via email (Google Workspace) or live chat (Zoho SalesIQ), we collect the content of those messages, timestamps, and contact details. This data is automatically synced to our customer relationship management systems (Zoho CRM) and automation tools (Zoho Flow).
B. Information Processed on Your Behalf ("Platform Data")
In the course of providing the Service, we process data from your connected third-party platforms.
Product Data: SKUs, descriptions, specifications, pricing, inventory levels, and images pulled from PromoStandards suppliers.
Store Data: Product listings, variants, and inventory data pushed to or pulled from your Shopify store.
C. Data Flow
Our Service processes the following data flows:
- Inbound: Product specifications, pricing, media assets, and inventory levels from PromoStandards suppliers.
- Storage: Transformed product data, your product selections, and sync configurations in our Zoho Creator database.
- Outbound: Product listings, variants, images, and inventory data to your connected Shopify store(s).
Important: We do not access or process your Shopify customers' personal information, order data, or payment information.
D. Chatbot & AI Communications Disclosure
We utilize AI-enabled chat features provided by Zoho SalesIQ. By using our chat interface:
AI Interaction: You acknowledge that you may be interacting with an Artificial Intelligence (AI) system rather than a human agent.
Recording Consent: You explicitly consent to the real-time recording, transcription, and storage of your chat conversations by us and our third-party provider (Zoho) for customer support, quality assurance, and AI training purposes.
Data Propagation: You acknowledge that chat transcripts and email communications are automatically stored and processed across our internal systems, including Zoho CRM and Zoho Flow.
No Sensitive Data: You agree not to enter sensitive financial information (credit card numbers) or health information into the chat window.
3. How We Use Your Information
We use the information we collect to:
Provide the Service: Syncing data between PromoStandards suppliers and your Shopify store(s).
Platform Operations: Your data is processed within the Zoho ecosystem, including Zoho Catalyst for application logic, Zoho Creator for data storage, and Zoho Subscriptions for billing management.
Professional Services: Conducting SEO audits, social media planning, and content creation when you engage us for these services.
AI Generation: Using your inputs and brand voice prompts to generate enhanced product descriptions and media via our AI integrations.
Billing: Processing subscription payments via Zoho Subscriptions.
Communication: Sending you technical notices, updates, security alerts, and administrative messages.
Improvement: Analyzing usage trends to improve the efficacy of our connectors and sync processes.
Aggregated Data: We may use data in an aggregated, anonymized manner (that does not identify you or your customers) for internal analytics, benchmarking, and product development.
4. Disclosure of Your Information
We do not sell, trade, or rent your personal information to third parties. We share information only in the following situations:
Service Providers: We share data with trusted third-party vendors who assist us in operating our Service. These include:
- Zoho Corporation: Our integrated tech stack includes Zoho SalesIQ (Chat), Zoho Sites (Web Hosting), Zoho Creator (Database), Zoho Subscriptions (Billing), Zoho CRM (Customer Records), and Zoho Flow (Automation).
- Google Workspace: We use Google for email hosting and document storage. Emails sent to our support team are processed by Google's servers.
- Authorize.net: For payment processing.
- AI Providers: We may share product data and prompts with third-party AI providers (including Anthropic/Claude, Google/Gemini, and OpenAI/ChatGPT) for the sole purpose of generating enhanced content. We do not input your end-customers' Personal Identifiable Information (PII) into these AI models.
- SEO & Marketing Tools: When you engage us for Professional Services, we utilize tools such as Semrush, Google Search Console, Adobe Creative Cloud, and Canva.
Advertising Partners: We may share data (such as hashed email addresses or cookie identifiers) with advertising platforms including Google Ads, Meta (Facebook/Instagram), and LinkedIn to serve targeted advertisements to you or to lookalike audiences.
Legal Requirements: We may disclose information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
5. Data Storage and Security
Infrastructure: Our Service is built upon the Zoho platform. Data you input into the Service is stored on Zoho's secure servers. You acknowledge that while we configure access controls, the physical security of the data relies on Zoho Corporation's security infrastructure.
Security Measures: We use industry-standard encryption for sensitive credentials (including OAuth tokens and API keys) and restrict access to your personal information to personnel who need it to provide the Service.
Shopify Access Tokens: OAuth tokens for connected Shopify stores are encrypted at rest within our Zoho Creator database. Tokens are used solely to sync product data to your authorized store(s) and are never shared with third parties.
6. Data Retention
We retain your personal information and Platform Data only as long as necessary to provide the Service or as required by law.
Upon Termination: As outlined in our Terms of Service, if you cancel your subscription or fail to pay, we may retain your data for a grace period of ninety (90) days to facilitate reactivation. After this period, your data may be permanently deleted from our live systems.
Data Deletion: Upon account termination and expiration of the retention period, we will delete your account data from our systems. Products previously synced to your Shopify store will remain in your store (potentially in unpublished or draft status) unless you manually delete them from Shopify.
7. Cookies and Tracking Technologies
Management: Our website uses cookies and similar tracking technologies managed by Zoho Sites and our advertising partners to analyze trends, administer the website, and track users' movements.
Types of Cookies: We use three types of cookies:
- Strictly Necessary: Required for login authentication and site security.
- Analytics: To understand usage trends (e.g., Google Analytics).
- Marketing & Retargeting: To track the effectiveness of our campaigns and show you relevant ads on other sites.
Pixels and Tags: We use tracking pixels and tags (such as the Meta Pixel, LinkedIn Insight Tag, and Google Ads Tag) to measure the performance of our advertising and to retarget visitors who have viewed specific pages.
Control: You can control the use of cookies at the individual browser level. You can also opt-out of targeted advertising via the Network Advertising Initiative or the specific platforms (Google, Meta, LinkedIn) directly.

10. Florida and State Wiretapping Laws
To comply with the Florida Security of Communications Act and similar state laws regarding the recording of electronic communications:
Consent to Record: By initiating a chat conversation or sending an email to our support team, you expressly consent to the recording, monitoring, and storage of that communication by us and our third-party processors (including Zoho SalesIQ, Zoho CRM, and Google Workspace).
Automated Interactions: You acknowledge that chat interactions may be automated using AI technology.
11. Third-Party Links and Integrations
Our Service integrates with Shopify, PromoStandards suppliers, and various third-party tools. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any platform you connect to our Service, including:
